This page explains which personal data we process in connection with the advertax.pl website, the contact form and contacting us, why and for how long, and what rights you have. We apply the GDPR (Regulation (EU) 2016/679).

1. Data controller

2. Contact form

What data: your full name, email address, phone number (if provided), topic and message. For technical reasons we also record the page language, the time taken to fill in the form (protection against bots) and your IP address.
Purpose: replying to your enquiry, contacting you about it, presenting an offer or arranging a meeting.
Legal basis: Article 6(1)(b) GDPR (steps taken at your request before entering into a contract) and Article 6(1)(f) GDPR (our legitimate interest: handling correspondence and protecting the form against abuse).
How long: until the matter is closed, then for up to 1 year for archiving purposes or until any claims become time-barred.
Providing your data is voluntary, but without your name, email address and message we cannot reply to your enquiry.

3. Email and telephone correspondence

If you email or call us, we process the data you give us (e.g. your name, email address, phone number, the content of the conversation or message) to deal with your matter. Legal basis: Article 6(1)(f) GDPR (handling correspondence) and, where the conversation concerns entering into a contract, Article 6(1)(b) GDPR. We keep correspondence until the matter is closed, then for up to 1 year or until any claims become time-barred.

4. Our clients

We process the data of our clients and their employees to the extent necessary to perform the accounting, HR and payroll services agreement (Article 6(1)(b) GDPR) and to meet our legal obligations, e.g. in tax and accounting matters (Article 6(1)(c) GDPR). The details, including data processing on the client's behalf, are set out in the agreement with the client. We keep the data for the duration of the cooperation and then for the periods required by law or until any claims become time-barred.

5. Technical data and server logs

Each time you visit the website, the server records in its logs your IP address, the date and time, the address of the page opened and information about your browser. We do this to keep the website working and secure (Article 6(1)(f) GDPR). Logs are deleted automatically after up to 60 days.

6. Cookies and analytics

The website does not use cookies, analytics or advertising tools, and does not track visitors. Fonts, images and the map are loaded from our own server, not from third parties. The map is based on OpenStreetMap data. The “Get directions” link opens Google Maps only when you click it; from then on, Google's privacy policy applies.

7. Who receives the data

Website hosting: Hetzner Online GmbH (Germany) – the website server is located in Finland.
Content delivery network (CDN): BunnyWay d.o.o. (Slovenia) – helps deliver the website.
Email: we use our own mail server, which runs on a Hetzner Online GmbH server in Germany. Messages from the form and emails reach us this way.
Bodies and authorities entitled by law, when they request it.

Our providers process data on our behalf and in accordance with our instructions.

8. Your rights

You have the right to access your data and receive a copy, to have it rectified, erased, its processing restricted and to data portability, as well as the right to object to processing based on our legitimate interest. To exercise these rights, contact us (section 1).

You also have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00‑193 Warsaw, Poland) if you believe that we process your data unlawfully.

We do not make automated decisions about you and we do not profile you.

9. Security

The connection to the website is encrypted (HTTPS). The form is protected against bots and excessive submissions. Only people who need the data for their work have access to it.

10. Changes to this policy

If we change this policy, we will publish the new version on this page together with the date of the update.
